This policy describes what information Learning Ladders Preschool ("we"), doing business as Mini Ivy, collects through mini-ivy.com (the "Service"), how it is used, and the choices available to you. Information about children is covered in detail by the Children's Privacy and Parental Consent policy, which forms part of this one.
Information we collect
Adult account. When a parent or guardian creates an account we collect an email address and, optionally, a first and last name. We store a protected hash of the password, never the password. We record the time of email verification, the adult attestation, the version of the notice shown at signup, and account-creation and last-login times.
Household and learner profiles. A parent may create learner profiles for the children in their household: a display name the parent chooses and a grade level. Learner profiles have no email address, password or contact details of their own.
Learning activity. As a learner works, we record which lessons the learner marks complete, the answers given to quick-check and practice questions, and the time of each. This is the record that shows a learner's progress and is visible to the household's parent and to authorized staff. Opening a lesson or reading an explanation is not recorded beyond the technical request logs described below.
Forms you submit. Where the site offers a program registration or a contact form, we collect what that form asks for — for a registration, the child's name, date of birth and address and the parent's name, telephone number and email address; for a message, your name, email address and the message — and use it only to run that program and to reply to you. Registrations are kept as enrollment records; messages are delivered to our staff by email.
Payment. Payments are processed by Stripe, Inc. Card and bank details are entered on Stripe's pages and never reach our servers. We store Stripe's identifiers for the customer, subscription and invoices, the plan purchased, the learner it was purchased for, and the version of these policies accepted at checkout.
Technical information. Our servers log the network address, browser type, requested page and time of each request, and keep short-lived counters used to limit login and signup abuse. These logs are used for security and operation of the Service.
Cookies
We use a session cookie to keep you signed in, a security cookie that protects forms against forgery, a short-lived cookie that carries a status message from one page to the next, and, where a parent has enabled it, a trusted-device cookie that lets a learner return to their own profile on that device without the parent signing in each time. We do not use advertising cookies or analytics trackers.
How we use information
To provide the Service: to sign you in, show each learner their own lessons and practice, record and display progress, and process subscriptions. To communicate with you about your account, verification, receipts, renewals and changes to the Service. To keep the Service secure and to investigate misuse. We do not sell personal information and we do not use it for advertising.
Who sees information
Authorized Mini Ivy teachers and administrators can see account names and email addresses, learner profiles and learning records in order to run the Service and to help with enrollment and support.
Service providers act on our instructions and see only what their function requires: Stripe (payments), Amazon Web Services (storage and delivery of lesson content), our hosting provider (servers), and our email delivery provider (account messages). Pages load presentation assets — fonts, stylesheets and scripts — from content delivery networks (jsDelivr, cdnjs, Google Fonts), and a page that shows our location embeds a map from Google Maps; each of these receives the network address of the browser requesting it. We may disclose information when the law requires it or to protect the rights and safety of learners, families, staff or the public.
Keeping and removing information
Account, household, learner and learning records are kept while the account is maintained. When you ask us to close an account or remove a learner profile, we first deactivate it, which ends its use of the Service; an administrator then reviews the records with you and removes or de-identifies those we do not need to keep, and tells you what is retained and why — security, operational, accounting or legal reasons. Copies in routine backups age out on the backup schedule. Payment records are kept for as long as accounting and tax rules require.
Your choices and rights
You may review and update your account details when signed in. To request a copy of your information, a correction, closure of an account, or removal of a learner profile, write to contact@mini-ivy.com from your registered email address; we verify requests before acting on them. Never send a password or sign-in code by email.
Security
Connections use HTTPS. Passwords are stored as protected hashes. Staff access is limited to what each role needs and staff sign-in requires a second factor. No method of transmission or storage is perfectly secure; if we learn of a breach affecting your information we will notify you as the law requires.
Changes to this policy
When this policy changes materially we will post the new version with a new effective date and, for changes affecting subscribers or children's information, notify the account email before the change takes effect. The effective date at the top of this page identifies the version in force.
